Carrier onboarding services for US freight brokers

Actigy BPO prepares carrier onboarding files for US freight brokers. We collect the packet, check names and document dates against your checklist, and separate missing paperwork from exceptions that need your risk team. Your brokerage approves or declines each carrier before tendering freight.

Agree the scope, access and reviewer before a paid pilot.

What goes into a carrier packet?

Use the brokerage’s approved invitation and secure document channel. Record the carrier identifier, legal name, operating contact, equipment and lanes requested. Collect the documents your policy requires, such as an executed broker-carrier agreement, tax form and certificate of insurance. Compare names, identifiers, policy dates and missing signatures against your checklist.

  • Use authorized sources and your preferred identity, authority or insurance workflow. Record which source was checked and when.
  • Treat an application, a verified packet and an approved carrier as three separate statuses. A completed checklist cannot override a hold.
  • Keep sensitive bank, tax and insurance records inside the approved portal. Route restricted checks to the authorized client owner.

Worked example

What happens when a new contact requests a payment change?

Suppose a renewal packet matches an existing carrier, but a new email address requests different payment details. The coordinator pauses the request, flags the mismatch and contacts the designated owner through an independently approved channel. The existing payment instructions stay in place until the brokerage completes its verification.

How are renewals different from new carrier approvals?

For an existing carrier, track expiring documents, send reminders on your agreed schedule, and attach the updated records to the right profile. Report missing evidence, stale contacts and open holds before the renewal deadline. Your brokerage decides whether an existing carrier may continue hauling, be reinstated or receive a new tender.

Which carrier files are ready for the broker to decide?

For a branch accepting new carriers, track packets received, missing documents, exceptions needing a risk decision and files ready for approval. For a renewal queue, group expiring documents by due date and carrier status. Measure time to a complete file separately from the broker’s decision time.

  • Report received packets, files ready for review, files awaiting a carrier response and files awaiting your decision.
  • Measure time to review-ready, first-pass completeness, duplicate profiles found and reviewer returns. Report client decision time separately.
  • Review a sample of cleared packets and all risk flags with your onboarding lead before adding another branch or shift.

What stays with your brokerage?

You set eligibility rules, approve or suspend carriers, select who receives a load and decide when payments or account changes may proceed. Actigy BPO prepares and follows up on assigned packets. Your brokerage retains the tender, fraud disposition and payment authority.

Before the first live queue

Bring the inputs that shape your scope

The proposal should identify what can be assigned, who can decide, and how you will accept the work. Start with one representative queue; agree any expansion after reviewing the pilot.

  1. Define the workload

New approvals versus renewals and the broker’s required checks.

  2. Agree the controls

Document access and an independently verified contact procedure.

  3. Review the right measures

Packet completeness, renewal follow-ups and exceptions sent for review.

Buyer questions

Clarify the work, access and approval boundaries before assigning a team.

Is this a registration portal for carriers seeking freight?

This is an outsourced operations service for the brokerage processing carrier applications. A carrier seeking a load or a carrier setup invitation should use that brokerage’s own registration channel.

Can the desk work in our TMS and onboarding platform?

Specify the transportation management system, carrier portal, allowed sources and permissible staff locations. We can scope work in approved accounts and document the exact handoff between the portal and your TMS.

Can a coordinator clear a fraud or insurance exception?

The coordinator can document the discrepancy and follow the verification steps you authorize. Your designated risk or carrier operations owner decides the outcome, including whether to approve the carrier or release a hold.

What details help you size the queue?

Share monthly new packets and renewals, the percentage requiring follow-up, your hours of coverage, escalation owners and any systems or access restrictions. Keep actual carrier records, tax forms and bank details out of the inquiry.
