Vendor security review outsourcing for procurement teams

Actigy BPO prepares supplier security reviews for procurement and third-party risk teams. We request evidence, match it to your controls and return the open questions to your reviewer. Your security lead decides which risks to accept, and procurement authorizes the purchase.

Agree the scope, access and reviewer before a paid pilot.

A defined workflow in your systems

For procurement, security and third-party risk teams with a new-supplier or renewal backlog, a written review standard and named owners for exceptions.

  1. You provide

Vendor inventory, risk tier and approved control requirements.

  2. Actigy BPO prepares

Evidence-linked review packet with scope gaps and supplier questions.

  3. You retain

Risk acceptance, exceptions and the purchase decision.

Decision owner: Security lead and procurement owner. Confirm this role and the escalation contact in the written scope.

What determines how deeply a supplier is reviewed?

Start with the product being purchased, the data it handles and the access the supplier would receive. We use your rules to route the file to the right review tier. If the purchase is urgent but the tier is unclear, your risk owner resolves the classification.

What does a security reviewer receive?

Each file ties a requirement to the exact supplier response or approved evidence source. The review packet distinguishes a supplier assertion from supplied documentation and identifies anything that falls outside the document’s scope or review period.

  • An evidence register with supplier, service scope, source, dates and access restrictions.
  • An exception list showing the requirement, missing evidence, follow-up owner and due date.
  • A decision handoff naming the client approver and any remediation item the supplier still owes.

What if a supplier’s evidence covers a different product?

A supplier submits a report for its parent company, while procurement is buying a separately hosted application. The analyst identifies the entity and systems the report actually covers and asks for evidence for the application. Your reviewer can request another document, set a contractual condition or accept the gap. The file stays open until that decision is recorded.

Who owns risk acceptance and restricted documents?

Your team sets the risk methodology and decides whether to approve, condition or reject a supplier. The desk works in your approved repository and follows sharing, retention and access instructions. Technical testing, audit opinions and legal contract review stay with the assigned specialists.

How do we size a supplier review backlog?

Count new suppliers and renewals by risk tier. Sample both a complete file and one that needs follow-up. Separate analyst handling time from days waiting on a supplier. Those numbers show how many reviews a team can prepare and where an internal approval would still delay purchasing.

Before the first live queue

Bring the inputs that shape your scope

The proposal should identify what can be assigned, who can decide, and how you will accept the work. Start with one representative queue; agree any expansion after reviewing the pilot.

  1. Define the workload

Supplier tier, product, data access and review deadline.

  2. Agree the controls

Required evidence, acceptable scope and restricted-document handling.

  3. Review the right measures

Evidence coverage, unanswered items and reviewer rework.

Before you decide

Buyer questions

Clarify the work, access and approval boundaries before assigning a team.

How does this differ from security questionnaire response services?

This desk works for the purchasing organization assessing a supplier. A vendor answering its customers’ questions needs a response desk that drafts from the vendor’s own approved evidence.

Can the team support annual supplier reassessments?

Yes. Use your reassessment calendar and trigger rules to define the queue. Track changes in supplier scope, services, access or evidence dates and route changed risks to the assigned owner.

Can you decide whether a vendor is secure enough to buy from?

Your security or risk owner makes that decision. The operational handoff organizes evidence, identifies gaps and follows up under your procedure. It does not constitute an audit or security certification.

What do you need for a pilot quote?

Share vendor volumes by tier, typical evidence requirements, due-date patterns, portal or GRC system and the client reviewer’s role. Keep supplier names, reports and vulnerabilities out of the inquiry form.

Can you help with a backlog in our existing third-party risk platform?

Scope the supplier assessments, risk tiers and outstanding questions you want to assign. Actigy BPO can prepare the evidence worklist using your approved process and preserve the supplier and assessment identifiers in the handoff. Your team retains the risk model, acceptance rules and software; this is review capacity, not a replacement platform.

Request a supplier review estimate

How many supplier reviews or renewals are due, in which risk tiers, and who accepts exceptions? Please omit supplier reports and vulnerability details.
