Laytime event reconciliation worksheet

Actigy BPO prepares laytime worksheets for chartering teams. Use this worksheet to reconcile port-call events, separate elapsed hours from hours counted under the client’s instructions, and flag unresolved intervals. The chartering team interprets the charterparty and approves the claim.

Reconcile a voyage event before drafting a laytime statement

Start with the fictional example or enter your own planning assumptions. Use the Excel download for a multi-row record.

Your inputs

Format: YYYY-MM-DDTHH:MM±HH:MM. Include the UTC offset.

A calculation supports a review. It does not authorize payment, filing, release or a claim.

Keep a multi-row record in Excel
Check the initial worked example

From 23:30 to 02:00 at UTC+02:00 the following day, 150 minutes elapsed. If the chartering owner instructs that half the interval counts, the worksheet returns 75 minutes. If the treatment is unresolved, it reports elapsed time and leaves counted time open.

A repeatable method

How to use the worksheet

For ship operators, charterers and port agents who need a traceable handoff from the statement of facts to a draft time sheet.

Download the editable workbook
  1. Identify the call and the event sources. Record each local time with its UTC offset and preserve the original statement of facts reference.

  2. Check the order and overlap of intervals. Put unsupported or conflicting events in an open queue. Enter a counting assumption only when the client supplies it.

  3. Show elapsed and provisionally counted hours separately. Send unresolved clauses, gaps and differences to the chartering owner before drafting a claim.

Illustrative · Not a client result

A second worked example

From 08:00 to 10:00 at the same UTC offset is two elapsed hours. If the client instructs you to count half of that interval, record one provisional hour and the instruction source. A missing event time or disputed clause remains unresolved.

Keep the decision with its owner

What this tool can establish

This original worksheet is not a BIMCO form. It does not establish validity of a notice of readiness, interpret a charterparty, decide the start of laytime or calculate a final settlement. Ocean container free-time invoices require different records.
