Order processing outsourcing

Keep order records moving, with clear checks and an owner for every exception.
Actigy BPO handles desk-based order processing: checking records, entering approved changes and routing exceptions in client tools. Your team keeps pricing, refund policy, payment authority and physical fulfilment. A process audit and paid pilot define the queue, permissions and acceptance checks before more work moves.

What can an order-processing team handle?
Start with one order queue and the records it needs. Order entry outsourcing is part of this scope; it does not transfer ownership of the transaction or the warehouse. Actigy BPO works to approved instructions and stops when a record needs a business decision.
| Queue task | Output to agree | Client keeps |
|---|---|---|
| Intake and order entry | Record checked against required fields and its source reference; missing data flagged | Product, price, tax and commercial terms |
| Approved record updates | Permitted address, account or status change with an activity record | Rules for changes and approval of exceptions |
| Status and delivery exceptions | Exception reason, current status, next owner and follow-up recorded | Stock allocation, warehouse work and carrier commitments |
| Return and refund records | Request, approval status and supporting reference recorded or routed | Refund authority, payment release and policy changes |
For customer conversations about an order, use customer support outsourcing. For the store-specific queue and permitted actions, see Shopify customer service outsourcing. Broader record work belongs under back-office outsourcing.
From an incoming record to an accepted handoff
- Identify the source. Match the order reference, channel and current record before entering or changing data.
- Apply the checks. Check required fields and permitted status transitions. Flag missing or conflicting information.
- Act within authority. Complete only the updates allowed by the approved procedure and access role.
- Route the exception. Record why work stopped, what was checked and which client owner must decide.
- Review the result. Check accepted records and rework against the pilot scorecard before increasing volume.
An illustrative exception
An address-change request arrives after an order is marked ready to dispatch. The support record does not establish whether the warehouse can still stop it. The team records the request and routes it to the fulfilment owner rather than promising a change. The final status and any approved customer update are written back to the queue. This is a workflow example, not a reported client result.
Who owns the queue and its approvals?
In a managed scope, Actigy BPO runs the agreed queue, assigns work and reviews quality. Your owner approves the procedure, source systems, access and decisions outside the team's limits. If your manager will direct individual roles, put that responsibility split in the staffing scope.
Software access is not permission to make a business decision. Agree which actions may proceed, which need a second check and which must wait for the client. An unavailable approver leaves a documented pending item, not an assumed approval.
- Actigy BPO: agreed record work, exception tracking, sampled QA and shift handoffs.
- Your operations owner: source-of-truth rules, stock and fulfilment decisions, commercial terms and approval contacts.
- Your finance owner: payment release, refund authority and accounting decisions.
- Your system owner: access roles, configuration, integrations and production changes.
This service does not include warehouse picking, packing or shipping, independent movement of funds, or ERP implementation. Any additional system or workflow must be assessed before it enters the scope.
What should the pilot hand over?
Agree the records and review criteria before work starts. A completed entry and an unresolved exception are different outputs; neither should disappear into a single “processed” total.
| Output | Acceptance check |
|---|---|
| Queue procedure | Required fields, allowed actions, approval limits and escalation owners are approved by the client |
| Completed-record log | Source reference, permitted change and final status can be traced |
| Exception log | Reason, age, next owner and pending approval are visible |
| QA and handover notes | Errors, rework and open items have owners; the next shift can continue without guessing |
Measure record accuracy, turnaround, exception age and rework against the agreed baseline. Define what counts as accepted and when the clock pauses for missing information or client approval. Fast entry alone does not prove correct processing.
When outsourcing order processing fits
A defined queue is a good fit when repeat record work or a seasonal backlog consumes operations capacity, the source systems are accessible and the client can supply rules and decision owners. Ecommerce teams can separate the desk work from the warehouse without transferring fulfilment accountability.
Another model fits better when most records need a new commercial decision, stock data cannot be trusted, work requires physical access, or the main need is software repair. A small, irregular queue may not justify assigned capacity. Resolve those constraints before moving the work.
The broader ecommerce and marketplace scope covers adjacent customer, finance and marketplace operations. Keep each queue's owner explicit.
Scope the hours, price and paid pilot
Actigy BPO begins with a process audit and paid pilot. Share daily and peak order volumes, source systems, sample exceptions, required fields, cutoffs and the current error or rework baseline. Use redacted examples, not live customer or payment records, in an initial inquiry.
Specify the staffed hours and time zone, the fulfilment cutoff, who approves during each shift and how open items pass to the next owner. Extended or 24/7 coverage needs an agreed staffing and escalation plan; it is not implied by outsourcing the queue.
Pricing is scoped per full-time equivalent (FTE) by role. The quote should identify training, queue leadership, QA, tool access and transition work. Start depends on access, procedures, training and client sign-off. Increase volume only after agreed acceptance thresholds hold.
Related order-work evidence
Actigy BPO's ecommerce omnichannel case describes Shopify order changes, tracking and approved return/refund work within a wider customer-support operation. The anonymized case is self-reported and not independently audited. It supports that workflow context, not an end-to-end ERP or warehouse service, and its results are not a forecast for another order queue.
Order processing outsourcing questions
What is order processing outsourcing at Actigy BPO?
Actigy BPO handles an agreed desk-based order queue: checking records, entering approved changes and routing exceptions. The client supplies source-of-truth rules and retains pricing, refund policy, payment authority and physical fulfilment. A process audit and paid pilot define the tasks and acceptance checks.
Is order processing the same as fulfilment?
No. This service covers administrative records and handoffs. Warehouse picking, packing, dispatch and carrier delivery remain with your fulfilment providers. The queue can record or chase a status under the agreed procedure; it cannot guarantee an outcome controlled by the warehouse or carrier.
Can the team approve refunds or change commercial terms?
The client keeps refund authority and commercial policy. Actigy BPO records requests and performs only actions permitted by the written procedure and access role. Exceptions go to a named client approver. Access to a refund or order-edit function does not grant independent approval authority.
Can Actigy BPO work in our existing order system?
The audit checks your system, allowed actions, training and access requirements before the queue is accepted. Do not assume that support for order records includes every platform, integration or app. System configuration, ERP implementation and production changes remain outside this service unless separately assessed and agreed.
What information is needed to price a pilot?
Share order volumes and peaks, source systems, required hours, sample exceptions and the approval process. The audit establishes roles, training, QA and acceptance criteria for a paid pilot. Actigy BPO provides a scoped FTE quote; there is no universal per-order price or guaranteed start date.
