Shopify customer service outsourcing

Published · Last updated

Support your shoppers in the right queue, with clear limits on store actions.

Actigy BPO supports customer-service queues for Shopify merchants, including order questions, tracking, returns and approved record changes. Agents follow your policies in the agreed store and helpdesk tools. You retain refund authority, store administration and policy exceptions. A process audit and paid pilot define the tasks, access and handoffs before scaling.

Which Shopify support tasks can you outsource?

Scope the contact reasons, not just “Shopify support.” Actigy BPO provides a merchant's customer-service team; it is not Shopify's own help desk and does not provide theme or app development through this service.

Shopify customer-service scope and approval limits
Contact typeWork to agreeStop or escalate when
Product and order questionsUse approved product information, policies and order statusInformation conflicts or a new commercial promise is needed
Tracking and deliveryExplain available tracking and record a carrier or fulfilment queryA lost parcel, dispatch change or delivery commitment needs the merchant's decision
Order changesVerify the request and make only the changes allowed by the procedureDispatch status or the access role prevents the requested change
Returns and refundsExplain eligibility, record the request and follow the approved return/refund workflowThe request exceeds authority, conflicts with policy or needs payment approval
Account and checkout questionsFollow approved account-verification and product-use guidanceA payment fault, security concern or technical change needs a specialist

Email, chat, voice and social channels are selected for the engagement. A request moving between channels should keep its order reference, actions taken and next owner. For a wider channel operation, see customer support outsourcing.

Separate store access from approval authority

A tool may permit an action that your policy does not. Agree both the technical role and the business rule before an agent handles orders. Start with the access needed for the selected queue; leave store administration with your authorized owner.

Helpdesk knowledgeUse approved macros; flag missing or outdated guidanceApproval of policy and product-information changes
Store and connected appsWork within assessed tools and access rolesApp installation, integration permissions, store settings and production code

Shopify's refund guidance and Gorgias's role permissions describe software controls. They do not replace your refund policy or authorize an outsourced agent to make an exception. Review both before access is granted.

Share the actual helpdesk and connected apps during the audit. Subscription changes, loyalty tools and other app-specific workflows need separate assessment; a Shopify store does not establish that every connected workflow is in scope.

Keep the customer context when work stops

Agents need a clear route for requests they cannot resolve. The handoff should record the order reference, verified request, relevant policy, checks already made, pending decision and next owner. Agree what the customer can be told while that decision is pending.

An illustrative return exception

A shopper requests a refund outside the published return window. The team checks the record and policy, then sends the exception to the merchant's approver. It does not issue credit simply because the helpdesk has a refund action. The customer receives only the approved update. This is an illustrative workflow, not a case result.

If an AI reply or macro is used, define its approved knowledge and the point at which a person takes over. Missing context, conflicting policy, complaints and requests outside authority need a human review or client decision, not an invented answer.

If the main work is entering and checking records rather than answering shoppers, scope order processing outsourcing separately. Keep the customer-facing and operations handoff owners visible.

Managed queue or dedicated Shopify support team?

In a managed engagement, Actigy BPO runs the agreed customer queue with delivery leadership and QA. A dedicated customer service team assigns capacity to one brand; the scope still needs to say whether your manager or the provider lead directs daily work.

Agree who schedules shifts, approves macros, checks quality and trains replacements. Dedication alone does not guarantee named individuals, every language or round-the-clock coverage. Specify the staffed hours, time zone and client escalation cover.

For a seasonal peak, share the forecast, promotion calendar and expected contact reasons. Hiring, product training, access checks and ramp-down notice belong in the plan before additional volume is committed.

Reported Shopify customer-support experience

Actigy BPO's ecommerce omnichannel case study describes a Bulgaria-based DTC support operation with Shopify order work and Zendesk/Gorgias in its tooling context. Tasks included order changes, tracking and return/refund workflows under client guardrails.

The anonymized case reports CSAT moving from 72.1% to 94.2%. It is Actigy BPO-reported, not independently audited, and specific to that engagement. It does not establish a retention gain, a promise for your queue or proficiency in every Shopify app.

The ecommerce and marketplace page explains adjacent finance, order and marketplace operations without treating them as part of every customer-support scope.

When Shopify customer service outsourcing fits

This model fits recurring shopper contacts, a documented return policy and enough volume to use trained support capacity. It can address an agreed channel backlog or coverage gap when the merchant supplies current product information and reachable decision owners.

It is not the right scope for theme repairs, custom app development, physical fulfilment, independent fraud/payment decisions or requests for Shopify's own account support. A low-volume store may be better served by its existing team. Fix unclear policy or unreliable order data before expanding the queue.

What should a paid pilot prove?

Actigy BPO starts with a process audit and paid pilot. Select one channel or contact group, then agree the rules, access and review criteria. Expand only after the acceptance checks hold.

  1. Map the contacts. Review volume, repeat questions, current response times, languages and peak periods.
  2. Set the authority. Approve order actions, refund limits, escalation owners and helpdesk/store roles.
  3. Train and test. Use redacted examples to check product knowledge, tone, routine work and exceptions.
  4. Review the queue. Check correct resolution, repeat contacts, QA and response measures by channel.
  5. Hand over and scale. Keep approved macros, open exceptions and access records current as scope changes.

Pilot outputs should include an approved queue procedure, macro/knowledge change list, QA findings and an open-item handover. Measure speed alongside correct actions and customer feedback; do not compare email and live-chat response times as if they were one channel.

What shapes the quote?

Actigy BPO prices by FTE role after reviewing scope. Share the helpdesk, connected apps, contact volumes, handling complexity, channels, languages, staffed hours and seasonal plan. Identify leadership, QA, training and any tool charges in the quote. Start depends on access and readiness; neither a launch date nor a response target is universal.

Shopify support outsourcing questions

Is this Shopify's own customer support?

No. Actigy BPO provides customer-service capacity for merchants using Shopify. The team answers your shoppers under your policies. Shopify account or platform issues that require the platform provider stay with Shopify's support, and store development is outside this service.

Can agents process Shopify refunds and order changes?

Only the actions allowed by the written procedure, approval limits and access role are included. Your business keeps refund authority and policy exceptions. Actigy BPO can handle the approved workflow and record the action or pending decision; a helpdesk permission does not grant independent refund authority.

Can you use Gorgias, Zendesk and our subscription apps?

The ecommerce case describes Shopify with Zendesk and Gorgias in its tooling context. Your actual helpdesk configuration, connected apps and permitted actions are assessed before launch. Subscription or loyalty workflows are not automatically included, and the client retains app administration and integration permissions.

Can we outsource one channel or use a dedicated team?

Actigy BPO can scope a selected channel or contact group for a paid pilot. A dedicated team can be assessed against repeat volume and product knowledge needs. The agreement must identify daily management, QA, staffed hours and client escalation cover; dedication alone does not set those responsibilities.

What should we share before discussing Shopify support?

Share contact volumes and reasons, channels, helpdesk, connected apps, languages, required hours and your return/refund rules. Identify who approves exceptions and when they are available. Use redacted examples without credentials or payment data. The audit informs a written scope and quote before you decide on a paid pilot.
