What moves from entity ledger to group reporting?

Map each entity and task to its source ledger, cutoff, responsible preparer and approver. The workstream starts with agreed inputs and ends with a reviewed entity pack and an exceptions list.

  • Prepare recurring journals and accrual schedules with source references, calculations and the required posting approvals.
  • Match intercompany balances by entity pair, currency, period and document. Separate timing differences from unexplained items and potential mapping errors.
  • Tie balance sheet reconciliations and movement schedules to the trial balance. Deliver the agreed group reporting template, open-item register and owner for each outstanding decision.

Worked example

How do you handle an intercompany mismatch?

The selling entity records a November invoice and the buying entity records it in December. The preparer links both entries and their source document, records the cutoff difference and routes the item to the local owners. After approval, the close file identifies the accounting treatment, posting reference and any amount still outstanding.

How does R2R differ from a controller or reconciliation service?

R2R connects several preparation steps to a common close calendar across entities. A reconciliation service focuses on named accounts. Controller support focuses on close oversight, review and judgment. You can retain a controller in-house while outsourcing repeated preparation tasks to Actigy BPO.

What is a sensible first close cycle?

Choose two entities with a recurring intercompany relationship, their group mappings and one complete reporting cycle. Agree cutoff times, read and write permissions, reviewer availability and how reopened items are handled. Track on-time pack delivery, reviewer returns, unresolved differences and time waiting on local teams.

Before the first live queue

Bring the inputs that shape your scope

The proposal should identify what can be assigned, who can decide, and how you will accept the work. Start with one representative queue; agree any expansion after reviewing the pilot.

  1. Define the workload

Entities, currencies, consolidation inputs and close dependencies.

  2. Agree the controls

Chart mapping, journal templates and posting permissions.

  3. Review the right measures

Outstanding differences, pack completeness and accepted close deliverables.

Before you decide

Buyer questions

Clarify the work, access and approval boundaries before assigning a team.

Can different entities keep different ERPs?

Yes, if you provide approved access or controlled exports and a mapping to the group reporting structure. Agree the currency, period, chart mapping and method for documenting changes before the first cycle.

Who signs off on consolidation and statutory reporting?

Your designated finance owners approve policies, consolidation adjustments, judgmental entries and release of the financial statements. Specify any local statutory or tax work separately and assign the authorized reviewer.

How do you estimate monthly capacity?

Share entity count, close deadlines, languages, journal and reconciliation volumes, intercompany pairs, ERP count and prior close exceptions. Include normal months and quarter-end peaks when scoping capacity.

How are ledger changes after the close cutoff handled?

Keep the trial-balance version used for the draft pack. Log any later entry, identify the affected schedules and return the resulting differences for the controller to review. Apply the agreed change-control process before replacing an approved pack, so entity owners can trace what changed and why.

Plan a multi-entity close cycle
