Outsourced customer onboarding for B2B SaaS teams
Actigy BPO helps signed SaaS customers reach the activation milestone your team defines. A coordinator schedules the next step, chases missing inputs and records blockers in your CRM. Your customer success manager keeps the relationship, and your engineers resolve technical issues.
Agree the scope, access and reviewer before a paid pilot.
- Kickoff
- Customer administrator attends
- Blocker
- First user import fails
- Technical handoff
- Engineer resolves the import issue

Where does the onboarding queue start and finish?
Start with a signed customer or authorized pilot account and a defined activation milestone. Agree what qualifies as a completed handoff from sales, which setup tasks the customer must perform, who can contact the customer and which event marks completion. The recurring support queue begins after the agreed handoff.
- Validate the customer owner, purchased scope, kickoff date and setup checklist against the handoff record.
- Schedule approved onboarding sessions, send agreed instructions and record the next action in the CRM.
- Route missing permissions or product defects to the responsible specialist and record any customer dependency.
Worked example
What if an invited administrator cannot finish setup?
A new administrator joins the kickoff but cannot import the first users. The coordinator records the failed step and routes it to the implementation engineer. When the engineer resolves it, the coordinator checks whether the import actually succeeded. The account remains open until the agreed milestone is recorded or customer success accepts a different handoff.

What can the onboarding coordinator say or change?
Your team approves the scripts, product instructions, contact cadence and consent rules. Agents work within assigned roles. Custom configuration, engineering changes, contract discussions, upsells and cancellation decisions go to your named specialists. Set an escalation route for security and data-access questions.

How do we know whether customers activated?
Report how many eligible accounts entered the cohort and how many reached the agreed milestone in the reporting window. Keep accounts waiting on the customer separate from those blocked by the product team. Record the next action for every open account. Reminder emails and tickets closed are activity counts, not proof of activation.

How do we scope the first onboarding cohort?
Choose one customer segment, product and onboarding path. Agree business hours, languages, handoff fields and one measurable completion event. Compare records before and after the pilot, including support escalations and accounts that never activated. Use the observed effort and exception mix to quote recurring coverage.
Before the first live queue
Bring the inputs that shape your scope
The proposal should identify what can be assigned, who can decide, and how you will accept the work. Start with one representative queue; agree any expansion after reviewing the pilot.
Define the workload
Customer segment, milestone, product events and current backlog.
Agree the controls
Approved communications and routes to implementation or engineering.
Review the right measures
Actual activation, unresolved blockers and time awaiting customer action.
Before you decide
Buyer questions
Clarify the work, access and approval boundaries before assigning a team.
Can our own customer success managers stay involved?
Yes. Customer success managers can retain relationship ownership, renewals and account plans. The outsourcing scope can cover scheduling, follow-up, CRM maintenance and escalation until the agreed onboarding milestone.
Is this an outbound lead generation service?
This queue begins after your team has authorized onboarding for an account. Prospecting, lead qualification and marketing campaigns require a different scope and should not be counted in customer activation metrics.
Can we keep our CRM, knowledge base and product analytics?
Yes. Identify which systems the coordinator may access, approved tasks and the event your product team uses for activation. Agree a client owner to resolve conflicting data before the first cohort goes live.
Can we start with a backlog of partially onboarded accounts?
Yes. Start with the last completed step, last customer contact, known blocker and account owner. Agree which accounts are still eligible for contact before restarting follow-up.
When is a customer ready to move from onboarding to customer success?
Agree the handoff milestone before work begins. The receiving customer-success owner should see the completed product events, pending setup blockers and next commitment made to the customer. A closed CRM task alone is insufficient if the agreed activation step is still incomplete.
Request an onboarding coverage plan
Share the number of new accounts, the step that counts as activation and where customers most often get stuck. Do not send a contact list.
