Laytime calculation and demurrage documentation support
Actigy BPO prepares draft laytime worksheets for shipowners, charterers and commercial operators. We reconcile port event times against their source documents and apply the counting assumptions your chartering team approves. You receive the arithmetic, evidence and unresolved intervals. Your claims owner decides the contractual position and approves any claim or settlement.
Agree the scope, access and reviewer before a paid pilot.

What goes into the voyage file?
Provide the applicable charter party, fixture recap and amendments, the relevant port’s statement of facts, notice of readiness and evidence of its delivery or receipt, plus vessel or terminal records needed to explain gaps. Identify the agreed time allowance, calculation basis and rates under your instructions. The desk records missing versions, missing signatures and unconfirmed times for review.
- Track tender, receipt and any acceptance of a notice separately, using the evidence supplied. The client decides its contractual effect.
- Capture event dates, local time and UTC offset from the source. Resolve inconsistent time zones before calculating interval length.
- Reference each event to its document and page. Keep any disagreement in a visible exceptions register.

What is the difference between a statement of facts and a laytime calculation?
A statement of facts records reported port events. The laytime worksheet applies the client-approved treatment of those events to show elapsed time, time counted, exclusions and any unresolved intervals. The desk retains the source record and shows its assumptions alongside the arithmetic so the reviewer can reproduce the draft.
Worked example
How does a disputed restart time affect the worksheet?
Suppose a statement of facts records a rain stoppage from 14:10 to 16:40 local time, but the terminal log gives a restart at 16:55. The draft shows elapsed intervals of 2 hours 30 minutes and 2 hours 45 minutes, with a source for each. The reviewer can see the 15-minute difference before deciding which record and counting treatment to use.

What does the claims owner receive?
Deliver a dated event chronology, a draft time sheet, an indexed evidence pack and a list of open questions. Where the approved terms support it, the draft distinguishes a demurrage estimate from a despatch estimate. It also records any claim deadline supplied by the client and its source. The authorized owner decides whether the notice, computation and supporting documents satisfy the contract, and whether to send or settle a claim.

How do you check a sample calculation before assigning more voyages?
Choose one voyage with a client-approved calculation and one unresolved file. For the first, compare individual time intervals, exclusions and arithmetic with the approved worksheet. Use the open file to test how the desk flags missing evidence, conflicting timestamps and the next claim deadline your team supplies.
Before the first live queue
Bring the inputs that shape your scope
The proposal should identify what can be assigned, who can decide, and how you will accept the work. Start with one representative queue; agree any expansion after reviewing the pilot.
Define the workload
Voyages, charter terms, statement of facts and agreed exclusions.
Agree the controls
Source hierarchy and the owner of disputed interpretations.
Review the right measures
Reproducible arithmetic, missing events and changes after client review.
Before you decide
Buyer questions
Clarify the work, access and approval boundaries before assigning a team.
Who prepares the laytime worksheet when our chartering team keeps the claim?
Actigy BPO can assemble event records and prepare a draft calculation against the assumptions your chartering team provides. Your authorized owner resolves disputed clauses, decides the claim position and approves submission or settlement.
Can you support either side of a voyage charter?
The workflow can serve an owner’s or charterer’s team under its own instructions. Confirm the engagement side, permitted records and conflict checks before sharing a voyage file.
Can Actigy issue a notice of readiness or decide whether it is valid?
We record what the authorized party tendered, when it was received and what evidence supports those events. The entitled party issues notices. Your chartering or legal owner assesses validity and the applicable commencement rule.
Does this cover container demurrage or truck detention fees?
This service covers vessel laytime under voyage charter terms. Equipment charges, container free time and accessorial charges on carrier invoices require a different contract and review workflow.
What determines the fee?
Share the number of voyage files, ports per voyage, typical document quality, anticipated exceptions and review deadlines. A paid sample measures analyst, reviewer and follow-up time before an ongoing quote.
Request a laytime worksheet review
Give the charter type, claims volume and which event records your team usually has. Identify the person who interprets the charter and approves the claim.
