US trucking and freight / Managed BPO

Remote freight loading coordination for US trucking and warehouse teams

Actigy BPO coordinates truck loading remotely. We ask the warehouse what freight is ready, relay confirmed counts and delays to dispatch, and collect the loading record or lumper receipt against the load. Your warehouse crew handles the freight and your authorized supervisor decides whether to wait, split or release the load.

Agree the scope, access and reviewer before a paid pilot.

The work. The handoff. Your decision.

A defined workflow in your systems

For US shippers, distribution centers, carriers and 3PL operations teams that already have dock crews and need one owner for loading updates across facilities.

  1. You provide

Pickup instruction and warehouse-reported loading status.

  2. Actigy BPO prepares

Time-stamped readiness register, discrepancy follow-up and dispatch update.

  3. You retain

Physical handling, load safety and shipment authorization.

Decision owner: Shipper and on-site operations team. Confirm this role and the escalation contact in the written scope.

What does the loading coordinator do?

The coordinator starts from your load number and confirmed appointment. Before the truck arrives, the desk checks the pickup reference, freight-ready status and named dock contact. During loading it records the facility-reported timestamps, owner of each exception and next-update time.

  • Before arrival: match pickup and purchase-order references, trailer needs and any facility instructions to the load record.
  • At the dock: request an update from the authorized contact, distinguish arrival from loading start, and escalate a missed cut-off.
  • After departure: attach the reported count, signed paperwork and receipt where available; flag anything still outstanding.

Worked example

Who decides what happens when two pallets are missing?

Suppose the pickup is for 18 pallets and the dock reports 16 ready. The coordinator records the source and time, alerts the shipper’s named contact and tracks whether the shipper authorizes a partial shipment, a later pickup or another arrangement. Dispatch receives the decision and any revised reference before the driver leaves.

How do you handle lumper fees and waiting time?

When a receiving facility uses an unloading contractor, often called a lumper, the desk records the fee request against the load, contacts your authorized payer and obtains the receipt. The facility or its contractor performs the work. We record arrival, dock-in and release times separately so finance can check any detention charge against the agreement.

Which loading delays should the shift report show?

For each exception, show when it was first reported, when the decision-maker was reached, the next promised update and the load’s status at shift end. Track missing receipts separately. Record both the actual event time reported by the facility and the time the desk received it, so a late message does not become a late truck.

Before the first live queue

Bring the inputs that shape your scope

The proposal should identify what can be assigned, who can decide, and how you will accept the work. Start with one representative queue; agree any expansion after reviewing the pilot.

  1. Define the workload

Facilities, load windows, units and the authorized reporting contacts.

  2. Agree the controls

How readiness is reported and who authorizes a change.

  3. Review the right measures

Update accuracy, unresolved quantity differences and decision handoff time.

Buyer questions

Clarify the work, access and approval boundaries before assigning a team.

Why use a remote loading desk if we already have dock scheduling software?

The software holds the appointment. Actigy BPO follows up when the freight is not ready, a count changes or a lumper receipt is missing. The facility confirms the physical event, and the authorized shipper or carrier decides the next action.

Does Actigy send lumpers or loading crews?

No. Actigy provides remote coordination. The client, terminal or warehouse contractor supplies the on-site crew and handles loading, unloading, securement and site safety.

Can the desk work with our current dock scheduling system?

Yes. Define the permitted systems and access first. The desk can work from your TMS or appointment portal; the facility confirms the slot and loading release.

Is this truck dispatch or freight audit?

This service owns readiness and the loading handoff for an already assigned shipment. Dispatch supports the named carrier’s load plan. Freight audit reviews billed charges against contracts and shipment evidence.

What information is needed for a quote?

Share facility count, shift windows and time zones, approximate loads per shift, exception frequency, required channels and who may authorize changes or fees.

Plan remote loading coverage

Share the facility, loads per shift, US coverage hours and common delays. Tell us who on site confirms counts, crew availability and release.
