Remote vessel loading coordination for dry bulk operations
Actigy BPO maintains a remote cargo-readiness register for dry bulk loading calls. We record quantities and loading events reported by the ship, terminal and appointed agent, flag conflicting versions, and hand unresolved items to the next watch. The master and terminal representative agree the loading plan and any changes.
Agree the scope, access and reviewer before a paid pilot.

What will the desk deliver before loading?
You receive a readiness register for one vessel, port call and cargo parcel. It identifies the nominated cargo and units, quantity advised by the shipper, quantity reported ready by the terminal, reference to the current agreed loading plan, and documents still outstanding. Every entry carries its source, reporting time and contact responsible for the next update.
- Record confirmed cargo availability separately from an estimate or an instruction under review.
- Identify which version of a loading document each party received. Keep prior versions available to the client.
- Refer quantity discrepancies or changes affecting the approved plan to the designated ship and terminal contacts.
Worked example
Which quantity goes on the loading record?
Suppose the operator nominates 18,000 metric tonnes and the terminal reports 17,600 ready. The coordinator records the 400-tonne difference, retains both source messages and asks the designated cargo contact for clarification. The master and terminal representative assess any change to the agreed loading plan. The desk circulates only their confirmed revision.

What happens during loading and at shift change?
The desk records the latest reported start, interruption, restart and completion events, with local date, time and UTC offset. It identifies which quantities are interim and which the designated source reports as final. The incoming operator receives the last acknowledged update, the missing records and each pending callback. Urgent operational matters go straight to the nominated ship or terminal contact through the agreed escalation route.

Who gives loading instructions or signs records?
Ship and terminal personnel agree the loading plan and its amendments, decide the sequence and rate, and retain safety and stop-work authority. The master retains vessel and stowage decisions. The appointed signatories validate cargo quantities and sign the required records. Actigy’s desk coordinates information remotely. It does not attend the berth, supervise stevedores, operate equipment, survey cargo or sign on a counterparty’s behalf.

What do you need to quote one loading window?
Give us the cargo type, terminal, coverage hours and people authorized to confirm readiness or revise a record. A redacted nomination and a sample shift handover help size the work. Agree which discrepancies need an immediate call and which can wait for the next watch.
Before the first live queue
Bring the inputs that shape your scope
The proposal should identify what can be assigned, who can decide, and how you will accept the work. Start with one representative queue; agree any expansion after reviewing the pilot.
Define the workload
Cargo, port, loading window and responsible ship/terminal contacts.
Agree the controls
Unit conventions, source messages and confirmed revision procedure.
Review the right measures
Record accuracy, open readiness issues and completeness of watch handovers.
Before you decide
Buyer questions
Clarify the work, access and approval boundaries before assigning a team.
Who can coordinate a loading call remotely while the master retains authority?
Actigy BPO tracks cargo-readiness updates and conflicting documents for the appointed agent or operator. The master and terminal representative agree the loading plan. The master retains vessel safety and stowage decisions, and terminal personnel direct the shore-side work.
Can the desk cover part of an overnight loading window?
Yes. Define the local date, time zone, hours, overlap between shifts and named on-call contacts. The quote depends on call volume, reporting cadence and document complexity.
Can you prepare a loading statement?
We can assemble a draft from the vessel and terminal reports and flag unconfirmed figures. The appointed representative validates the quantities, event times and final wording.
Who confirms that a vessel or cargo is ready to load?
The parties designated by your operating procedures confirm readiness. Our desk records who reported each status and when. Any unresolved condition goes to the appropriate party for a decision.
Does the service include stevedoring or stowage planning?
Physical loading, stowage calculations and safety decisions remain on the ship and terminal side. The remote service covers status tracking, document control and handovers.
Plan a vessel loading shift
Give the cargo type, port range, calls per month and watch handover times. Identify which vessel or terminal role confirms cargo readiness.
